Meeting Tools Setup Guide

This article explains how to set up Meeting Tools in Alta. Meeting Tools allow your AI assistant to check availability and book meetings directly within conversations using providers like Calendly, Microsoft Calendar, HubSpot, or Chili Piper.

What Are Meeting Tools?

Meeting Tools give your AI assistant the ability to manage scheduling during conversations with prospects.

With Meeting Tools, the AI can:

  • Check available time slots

  • Suggest meeting times to prospects

  • Book meetings once a prospect confirms a time

  • Reduce manual back-and-forth between reps and prospects

You can find Meeting Tools under:

Settings → Tools

Meeting Tool Types

When adding a meeting tool, you can choose between two tool types.

Check Availability

This allows the AI to retrieve open time slots and present available options to the prospect.

Use this when you want Alta to check your calendar or scheduling provider before suggesting meeting times.

Book a Meeting

This allows the AI to confirm and create the booking once the prospect selects a time.

Use this when you want Alta to complete the scheduling process automatically.

Important Recommendation

For the best scheduling experience, create both tool types for your provider:

  1. Check Availability

  2. Book a Meeting

This allows the AI to manage the full scheduling flow from finding available times to booking the meeting.

How to Add a Meeting Tool

Step 1: Go to Settings

From your Alta account, go to Settings.

Step 2: Open Tools

Click Tools.

Step 3: Add a Tool

Click Add a tool.

Step 4: Select Your Provider

Choose the provider you want to connect.

Available providers include:

  • Calendly

  • Microsoft Calendar

  • HubSpot

  • Chili Piper

Step 5: Choose the Tool Type

Select the tool type you want to create:

  • Check Availability

  • Book a Meeting

Repeat the process if you want to create both tool types for the same provider.

Calendly

Calendly allows Alta to reference your reps’ real-time availability and book meetings on their behalf during outreach.

What Calendly Can Do

Check Availability

Alta can look up open time slots on your rep’s Calendly calendar in real time. This ensures prospects are only offered times that are actually available.

Book a Meeting

Alta can automatically schedule a meeting directly on your rep’s Calendly calendar when a prospect agrees to a time.

How to Connect Calendly

  1. Click Connect next to Calendly.

  2. Log in with your Calendly account.

  3. Authorize Alta to access the required scheduling permissions.


Microsoft Calendar

Microsoft Calendar allows Alta to keep scheduling in sync with your Outlook or Microsoft 365 calendar.

What Microsoft Calendar Can Do

Check Availability

Alta checks your rep’s Microsoft Calendar in real time before suggesting meeting times to a prospect.

Book a Meeting

When a prospect confirms a time, Alta creates the calendar event directly in Microsoft Calendar and sends the invite automatically.

How to Connect Microsoft Calendar

  1. Click Connect next to Microsoft Calendar.

  2. Sign in with your Microsoft 365 account.

  3. Grant the necessary permissions.


HubSpot

HubSpot allows Alta to keep meeting activity connected to your CRM.

What HubSpot Can Do

Check Availability

Alta can reference HubSpot contact records as part of the scheduling and qualification process.

Book a Meeting

Alta can log booked meetings as HubSpot activities and help keep CRM records updated when a meeting is scheduled.


Chili Piper

Chili Piper enables fast meeting routing and booking, which is useful for teams that use routing rules or round-robin assignment.

What Chili Piper Can Do

Check Availability

Alta can query Chili Piper routing queues to find the next available rep based on your routing logic before suggesting a time.

Book a Meeting

Alta can trigger Chili Piper’s booking flow so meetings are routed, assigned, and confirmed without manual rep intervention.

How to Connect Chili Piper

  1. Click Connect next to Chili Piper.

  2. Enter your Chili Piper API credentials or log in through your workspace.

  3. Select the routing rules or queues you want Alta to use.


Best Practices

  • Create both Check Availability and Book a Meeting tools for your scheduling provider.

  • Make sure the connected calendar belongs to the correct rep or scheduling account.

  • Confirm that permissions are granted during setup.

  • Test the scheduling flow before using it in live campaigns.
