How Unsubscribes Work in Alta (Adding an Unsubscribe Link and What Happens When a Prospect Opts Out)

How to add an unsubscribe link to your campaign emails, customize its text, and what Alta does automatically when a prospect opts out — including account-wide opt-out, sequence stops, and CRM sync.

Before you start

  • The Email Preferences section only appears when your campaign sequence includes an Email step. Campaigns without email steps won't show these settings.


How to add an unsubscribe link to a campaign

  1. Open your campaign in the campaign builder and go to Settings.

  2. Find the Email Preferences section ("Configure unsubscribe links and email tracking preferences").

  3. Turn on Add unsubscribe link to sequence. A confirmation appears — "Adding an unsubscribe link can improve compliance, but some recipients may treat it as a spam signal." — confirm to enable it.

  4. (Optional) Check Customize the text shown for the link and type your own link text, for example Unsubscribe from emails. If you leave it unchecked, Alta uses its default text.

  5. Save your campaign settings.

When the link is enabled, Alta also adds the standard one-click unsubscribe headers (List-Unsubscribe) to each sequence email, so recipients can opt out using their mail client's built-in Unsubscribe button — in Gmail, for example, it appears right next to the sender name.


What happens when a prospect unsubscribes

Clicking the link takes the recipient to a simple page with an Unsubscribe button. Once they confirm, they see "You have been removed from this mailing list." Behind the scenes, Alta:

  • Records an opt-out for that email address across your entire account — not just the campaign the email came from.

  • Stops every active sequence for that person. Their enrollments are marked as completed with the reason "prospect opted out", so no further steps are sent.

  • Sets the prospect's outcome status to Not interested (reason: clicked unsubscribe).

  • Updates your connected CRM so the opt-out is reflected there too.


Replies that ask to unsubscribe

The link isn't the only path. When a prospect replies to a campaign email with something like "please take me off your list", Alta's reply classification detects the unsubscribe request and runs the same opt-out automatically — the address is opted out account-wide and the prospect is marked Not interested. No manual cleanup needed.


Tips and common pitfalls

  • The unsubscribe link is off by default. If your outreach needs to comply with regulations like CAN-SPAM or GDPR, turn it on per campaign.

  • Opt-outs are keyed to the email address and apply account-wide. Re-adding the same person to a new campaign won't restart emails to an opted-out address.

  • Want to exclude someone before they're ever contacted? Use the DNC list instead — unsubscribes are reactive, DNC is proactive.

  • Two related switches live in the same Email Preferences section: Reject prospects with personal email (on by default — skips prospects with personal addresses like Gmail, which carry higher spam risk) and Add tracking to sequence email messages (enables open and click rates in campaign performance, with its own spam-risk tradeoff).
