How to Work Through Manual Tasks in Alta (The Tasks Page and Bulk Approve)

The Tasks page is one queue of every manual task your campaigns have created. Filter it, work tasks one at a time, or approve a whole batch with a shared note and call status.

The Tasks page is a single queue of every manual task your campaigns have generated — filter it, work tasks one at a time, or approve a whole batch at once.

Who this is for: reps and managers running campaigns that include Manual Task touchpoints, who want one place to work them instead of opening each campaign.

Before you start

  • Tasks has to be enabled for your account. If you don't see it in the left sidebar, it isn't turned on yet — contact Alta support.

  • Tasks only exist once a campaign has a Manual Task step and a prospect reaches it.

  • To approve a task you need edit permission on that task's campaign.

What's on the Tasks page

Open Tasks from the left sidebar. Every manual task across your campaigns appears in one table, sorted by Scheduled At with the newest first.

  • Task — the step name you gave it in the campaign builder, or the task content if you left the name blank.

  • TypeTo Do, Call, or Email. Set on the Manual Task step.

  • PriorityLow, Medium, or High. Also set on the step.

  • StatusTo-Do, In Progress, Completed, or Failed.

  • Scheduled At — when the prospect reached this step.

  • Campaign and Prospect — links. They open in a new tab, so clicking them won't lose your place in the queue.

  • Approved At and Approved By — filled in once someone completes the task.

Filtering the queue

  1. Use the filter buttons above the table: Campaign, Rep, Type, Status, and Priority.

  2. Turn on Include archived & paused to bring in tasks from archived and paused campaigns. It's off by default, so you only see live work.

The Status filter offers To-Do and Completed only, even though In Progress and Failed can show up in the Status column. To find those, clear the Status filter and scan the column.

Work one task at a time

  1. Click anywhere on the row except the Campaign or Prospect link.

  2. The prospect slide-over opens on the task, with the full outreach timeline behind it.

  3. Fill in the result. For a Call task, pick a Call StatusConnected, Left voicemail, No answer, Busy, or Wrong number — and add Call Notes. For an Email task you get Email Notes; for a To Do task, Notes. Notes are optional.

  4. Click Done & Continue to mark the task complete and let the sequence carry on, or Pause to stop this prospect's upcoming steps.

Use the next and previous arrows in the slide-over to step through the other tasks from the page you came from. The list wraps around, so you can loop through a page without going back to the table.

Approve a batch of tasks

  1. Tick the checkbox on each task you want. The checkbox in the header selects everything on the current page.

  2. A count reading N selected appears above the table, next to a checkmark button.

  3. Click the checkmark to open the Approve N tasks dialog.

  4. If every selected task is a Call, a Call Status dropdown appears. Pick one status for the whole batch, or leave it empty.

  5. Add a Note if you want. It's saved on every task in the selection, and it's capped at 5,000 characters.

  6. Click Approve. You'll see a Tasks approved confirmation, and each approved task releases its prospect's sequence to continue.

Tips and common pitfalls

  • Greyed-out Approve button? Hover it. The tooltip tells you exactly why: No tasks are chosen, You do not have permission to approve all selected tasks, All selected tasks must be not started and linked to a prospect, or Approving tasks in progress.

  • Only To-Do tasks can be approved. One already-completed or failed task in your selection blocks the entire batch. Filter Status to To-Do before selecting.

  • Call Status is all-or-nothing. Mix a call with a To Do or Email task and the dropdown disappears — your note still saves, but no call outcome is recorded. Approve calls as their own batch if you're tracking dispositions.

  • Selection doesn't survive pagination. What you tick on page 1 is not carried to page 2. Approve a page at a time, or filter the list down first.

  • The confirmation counts what you selected, not what succeeded. Alta approves in small batches behind the scenes; if an individual task fails it's skipped, and you'll still see a success message as long as one went through. If the numbers look off, refresh and re-check the Status column.

  • Approving is not reversible. Done & Continue and Approve both advance the prospect's sequence. Use Pause instead if you're not ready for the next step to send.

  • Want these in your CRM? Turn on Task sync in Settings → CRM integration settings.

  • Don't want to check the page manually? Route Manual Task approval notifications to Slack or Microsoft Teams so the queue comes to you.
