How to Choose Which Reps and Mailboxes Send on a Campaign in Alta

Pick the reps who send on a campaign, control exactly which mailboxes each rep uses, and understand how prospects are reassigned when you change reps on a live campaign.

Summary: Every campaign has a reps selector that controls who sends the outreach — and, for each rep, exactly which mailboxes they send from. If you change the rep pool on a live campaign, Alta reassigns prospects to the updated pool for you.

Who this is for: Anyone building campaigns or managing a multi-rep team in Alta.

Before you start

  • You need at least one rep with the channels your flow uses. A rep without a connected LinkedIn account can't be selected for a campaign with LinkedIn steps, for example. See How to add a new Rep in Alta.

  • Selecting reps is separate from deciding which rep reaches which prospect. That routing logic lives in Rep Assignments → Assignment order — see the Related section below.

Where to find the reps selector

The same selector appears in two places in the campaign builder:

  1. On the Touchpoints step, in the toolbar above your flow — it shows the currently selected rep names (or Select reps when empty).

  2. On the Setup step, under Rep Assignments → Assignable reps.

Selecting reps

  1. Click the selector to open it. Use the Search reps... box to filter by name.

  2. Check the box next to each rep who should send on this campaign. Icons next to each rep show which channels they have connected (email, LinkedIn).

  3. Need someone who isn't set up yet? Click + Add rep at the bottom of the list — it opens rep creation in Settings → Reps in a new tab, and the list refreshes when you return.

If a rep appears grayed out, hover over them — a tooltip explains why they can't be selected (usually a missing channel your flow requires). Clicking a grayed-out rep opens their rep settings page in a new tab so you can fix the connection.

Choosing which mailboxes each rep uses

Once a rep is checked, click their name to open the Mailboxes panel on the right.

  • All (default): the All switch keeps the rep on Using all mailboxes — this automatically includes all of the rep's active mailboxes, as well as any added in the future. This is the safest option for most teams.

  • Specific mailboxes: turn the All switch off to pick mailboxes individually. They're grouped into Self managed mailboxes (accounts the rep connected themselves, like their Gmail or Outlook) and Alta managed mailboxes (deliverability mailboxes provisioned by Alta, grouped by domain — check a domain to select all of its mailboxes at once).

If the panel shows No active mailboxes for this rep, the rep has no active email account for this campaign's direction — connect one from their rep settings first.

Changing reps on a live campaign

You can add or remove reps at any time, even after launch. If the campaign is Active or Paused and the rep pool actually changed, Alta rebalances prospects when you save:

  • On Auto-Pilot: a confirmation explains that your queued prospects will be reassigned to your updated reps pool, and any new prospects will go to them too. Click Save changes to confirm.

  • On Co-Pilot: prospects waiting for your review are reassigned automatically. If you also have prospects already queued in the sequence, the Reassign prospects to your updated reps dialog adds a checkbox — "Also reassign X queued prospects?" — so you decide whether in-flight prospects move too. Click Save changes to confirm.

Rebalancing may take a few minutes to complete. Draft campaigns skip all of this — nothing needs reassigning before launch.

Tips and common pitfalls

  • Leave "All" on unless you have a reason not to. With specific mailboxes selected, new mailboxes you add to the rep later are not picked up by the campaign automatically.

  • Selecting a rep here doesn't guarantee they get prospects. The Assignment order rules (CRM ownership, prior engagement, round-robin) decide which of your selected reps reaches each prospect.

  • Grayed-out rep? Check what channels your flow uses. A campaign with LinkedIn touchpoints needs reps with a connected LinkedIn account; email campaigns need at least one active mailbox.

  • Removing a rep mid-flight doesn't stop their sent messages — it only affects prospects who haven't been contacted by them yet, based on the rebalancing choices you confirm.
